Sid Hill Transport Ltd Terms & Conditions – Feb 2023

By accepting bookings with us, you have agreed to carry goods under the Sid Hill Transport Ltd Terms and Conditions. These terms and conditions supersede all other terms and conditions, so please read in full.

Subcontractors

You must present yourselves as Sid Hill Transport, unless otherwise advised.

Goods in Transit

Transit starts at the point you leave the collection point and ends when you arrive at the delivery point. You are accepting full legal liability for the Goods in Transit cover on goods that you are transporting on our behalf for the full value of the load. You are also confirming that you have a valid Goods in Transit insurance policy, providing the MINIMUM cover required of £1300 per tonne. In the event of a claim from our customer regarding a claim for damages or loss, the responsibility will be passed to the subcontractor and insurance details will need to be transferred to the claimant’s insurers.

Updates

You MUST provide "real time" updates via the Haulage Exchange or by telephone. Our system will not accept back-dated submissions, such as updating at 9am, that your vehicle has been on-site since 8am. WE can only accept live updates, as they are via the Haulage Exchange and on the phone.

Waiting time

You will only be able to claim waiting time if prior agreement is received and in writing from us. You must advise us immediately the reason for the waiting time and the value to be charged then obtain authorisation in writing.

Waiting times rates are as follows;
up to 120 minutes FOC Over 120 minutes £45 per hour

Proof of Deliveries

Please always use the customers paperwork for PODs. Please contact us immediately if the collection point do not provide any paperwork for signature, as this is required to enable your invoice to be authorised. Any PODs submitted that are not on customers paperwork, will not be accepted and may not be paid. All pages of the PODS must be signed and dated.

PODS are to be uploaded to HX within 24 hours of the job (if relevant to HX) and the POD’s and invoices must be emailed to accounts@sidhilltransport.com quoting our REF number as stated on the booking. If the work is not contracted through Haulage Exchange your invoice and PDF POD must be emailed to accounts@sidhilltransport.com .Invoices and POD’s must be received within 2 weeks of the job date. In some circumstances we may request the original to be posted to us.

In the instance of lost paperwork, you will be asked to provide tracking information to prove delivery location. Non-production of PODs could lead to non-payment of invoices.

Late Arrivals

Please note that if your vehicle arrives more than 15 minutes later than the agreed ETA and the delay has not been reported to us in advance, waiting time cannot be paid, as your collection/delivery slot may have been given to another carrier. If we subsequently incur fines or storage costs from our customer for late arrivals which are the fault of the subcontractor or for not delivering as to the terms we have asked you to, then these fines will be passed on to the subcontractor.

Handball

Please contact our Ops team on arrival if handball is required at collection or delivery (and has not been pre agreed), to give us the opportunity to contact our customer for assistance. We will always advise you of any handball instructions before agreeing the work.

Invoicing and payments

All invoices are paid 45 days from the end of the month (15th), subject to your invoice being authorised.
If your invoice is received after 15th of the month relating to the prior month your invoice will be dated the date received and will subsequently be paid the following month. We cannot accept invoices by HX and they must be sent us on email to accounts@sidhilltransport.com with a clear PDF of the POD and the invoice stating our REF. Any omissions of these details could delay your invoice being processed. Any payments made to non-UK bank accounts will be paid in EURO’s and all processing fees will be deducted from the agreed cost for this booking.

Customers

We ask you to read the Conditions of Carriage before agreeing for us to carry out work for you. They are also available on our website. They are binding once we have been contracted to carry out the work for you.
In addition to these Condition of Carriage, we will only contract for work with new customers once they have passed our due diligence checks and credit worthiness assessment processes. This first process entails a customer form being sent out on email and being filled in and returned to us before the job is contracted for.
Once the transport team have received the form back filled in and signed and we have given you authority that these checks have been carried out and a credit limit given to you then the job can be accepted and booked in for you by our team.

Invoicing and payments

Your invoice will be emailed direct from our transport system along with the signed POD within 2 weeks of the job date. If the POD is required before then please contact us at accounts@sidhilltransport.com. If an original POD is required in the post, please contact us at accounts@sidhilltransport.com

All invoices are to be paid by 45 days end of month (15th). We reserve the right to may charge interest on any overdue invoices not paid in these terms. We do not accept any other form of payment other than bank transfer.

Pallet Exchange

Please note that we do not carry out pallet exchange of Euro or standard pallets on deliveries as we do not carry pallets.
